Scope of this policy

This Privacy Policy describes privacy practices for RecordsLookupVG. It covers information handled by this website itself; it does not govern government agencies, courts, public-record systems or independent third-party websites linked from a RecordsLookupVG guide.

RecordsLookupVG is an informational and referral website. The current prelaunch configuration keeps search submissions, partner routing and message delivery disabled. Before a feature that materially changes data collection or sharing is enabled, this policy should be reviewed and updated to describe that practice.

Information you choose to provide

When the Contact or Privacy Request form is enabled, the site can accept an email address, an optional name, a message and, for privacy requests, a request type. The forms expressly ask users not to submit identity documents, Social Security numbers, financial details or sensitive records.

When those forms are disabled, submitting the visible controls does not send a message. The site does not ask users to enter public-record subjects into an enabled on-site search in the current configuration.

Technical data and session controls

Like other websites, the hosting environment may receive ordinary request information needed to deliver pages, such as an IP address, browser or device information, requested URL, timestamp and basic security logs. The exact hosting-log retention policy is controlled by the deployed hosting configuration and should be documented before launch.

The application code creates a session cookie only when an enabled Contact or Privacy Request form needs a CSRF security token. That cookie is configured as an HTTP-only session cookie and is not used by the application code as an advertising profile. Rate-limit files use a keyed hash of the requesting IP address rather than storing the address in the rate-limit filename.

How information is used

Information submitted through an enabled form is used to respond to the inquiry or privacy request, operate the request workflow, prevent abuse and protect the site. RecordsLookupVG should not request more information than is reasonably needed for those purposes.

RecordsLookupVG does not use a contact or privacy request as a request for an official public record. Requests for court, criminal-history, vital-record or other government documents must be sent to the responsible record custodian.

External links, official sources and referral providers

RecordsLookupVG pages link to government agencies, courts and other external sites. Visiting an external site sends the request to that organization, which applies its own privacy policy, cookies and data practices. Review the destination before submitting personal information.

If referral or sponsored links are enabled in the future, this policy should identify any personal-information collection or sharing that occurs through those features before they are activated.

Sale, sharing and privacy choices

The current prelaunch configuration does not enable partner routing or an on-site advertising workflow. RecordsLookupVG should not state that a legal opt-out right applies to every visitor; privacy rights depend on the visitor, the business and applicable law.

Depending on where you live and whether a law applies, you may have rights to request access, correction or deletion, or to opt out of certain sale or sharing of personal information. Retention and security

RecordsLookupVG should retain submitted request information only as long as reasonably necessary for the request, security, recordkeeping or legal obligations applicable to the deployed service. No website or transmission method can guarantee absolute security.

If RecordsLookupVG changes hosting, analytics, advertising, email, referral or other data-processing services, the privacy documentation should be reviewed before those changes go live.

Children and sensitive information

RecordsLookupVG is not designed as a service for children to submit personal information. Do not use site forms to send sensitive identifiers, copies of identity documents, financial data, private medical information or confidential public-record material.

If a linked government or third-party service requires sensitive information to authenticate a request, provide it only through that organization’s official secure process.

Policy changes and questions

This policy may be updated when site features, providers or legal requirements change. Material changes should be reflected on this page before the affected feature is used.
